Subject: To announce the application for not extending the stay at the dormitory in the 2nd semester of 2024.

Basis: According to Article 5-3, 6-8, 9-2 and 22-2 of Regulations for Student Dormitories

Contents:

  1. Applicability: All students of NCU at the dormitory in the 1st semester of 2024.
  2. Procedure and time (Instructions are listed in the attached file):
    1. The range of time to Give up the dormitory: From now until January 31, 2025.
      1. Login to NCU Portal->iNCU->Student Affair (StdAffair) ->Dorm Application and Search -> Other Items -> Give up the next Semester Dorm. Result of dorm allocation->Submit “Give up” -> Click “Confirm” in the pop-up window -> the system will notify you via email. 
      2. For those who apply to waive accommodation, please move out of the dormitory within the specified time and complete the check-out procedure.
        1. Graduates: Before 1 P.M. January 31, 2025.
        2. Undergraduates: Before 1 P.M. January 13, 2025.
      3. Check-out procedures: To check-out system: Login to NCU Portal ->iNCU-> Student Affair (StdAffair) ->Dorm Application and Search ->Personal information inquiry over the years->Check-out application. Take photos of your dormitory's cleanliness, upload to check-out system (photo size <2MB is preferable) and return the key to the key box at the dormitory office. The dormitory manager/dormitory officer will visit your room to verify that the cleanliness meets the standard. There will be a fee for those who didn’t meet the cleanliness standard or lost in room keys.
    2. Abandoning the dormitory after the expiration date: From February 1, 2025 to February 16, 2025.
      1. Login to NCU Portal->iNCU->Student Affair (StdAffair) ->Dorm Application and Search -> Other Items ->Personal information inquiry over the years -> Abandoning dormitory overdue After confirming the abandonment, it will be displayed in the system.
      2. Check-out procedures: To check-out system: Login to NCU Portal ->iNCU-> Student Affair (StdAffair) ->Dorm Application and Search ->Personal information inquiry over the years->Check-out application. Take photos of your dormitory's cleanliness, upload to check-out system (photo size <2MB is preferable) and return the key to the key box at the dormitory office. The manager/dormitory officer of dormitory will visit your room to verify that the cleanliness meets the standard. There will be a fee for those who didn’t meet the cleanliness standard or lost in room keys.
      3. According to Regulations for Student Dormitories. Article 6-8, for those who waive beyond the deadline, the sequence of lot-drawing will be arranged to the third priority in next academic year. Article 22-2, the calculation of the refund is based on the charge standards for waiving dormitory beyond the deadline and before the beginning of the same semester.
  3. Instructions:
    1. If the check-out procedure is not completed, it will be treated as overdue check-out, and you will be required to pay a fee for non-compliance with cleanliness standards or for lost keys. Those who do not move out within the check-out deadline will have their belongings handled in accordance with Article 9, Section 2 of the dormitory regulations.
    2. If undergraduate students give up their dormitory beds in the second semester of the 2024 academic year but need to postpone their check-in, please go to the accommodation team to apply for postponement of check-in and pay the accommodation fee (NT$130/day); those who have left school (including graduation/retirement), you need to pay the late check-in and accommodation fees before you can go through the school departure procedures.
    3. Graduate students graduating in the 1st semester of the 2024 academic year are required to complete the check-out procedure before or at the latest by 1 P.M. January 31, 2025
    4. Those who waive/checkout after the school starts on February 17, 2025, will not be refunded the accommodation fee unless for leaving the school.
    5. G14 is scheduled to be renovated during the summer vacation of 2025 and 2026. Boarding students will be required to move to other dormitories during the summer vacation.
    6. Please refer to the announcement for the winter dormitory fees and related instructions of the University Department in the 2024 academic year.
